If you are in charge of planning your company retreat, you KNOW how challenging it can be to plan and prepare a large-scale event that actually produces great feedback.
Here are 7 tips to keep the retreat an event that includes purpose, positive results and (of course) fun!
A retreat is the perfect opportunity to give the company a chance to bond outside of the office while it can clarify & strengthen the company goals and visions. It boosts morale and motivation! What could be more important?
Some Tips for an Effective Retreat:
1. Determine the Goal for the retreat. Do you want employees to create deeper connections? Do you want to introduce a new initiative or product? Do you just want everyone to relax, unwind and enjoy some downtime? Depending on your answer, you will want to dedicate the right amount of time to allow for these goals to be implemented along with scheduling in time to simply relax.
2. The Venue. It’s critical to choose a venue that is convenient for most people. By focusing on the goal, you can often determine the best venue. If you want lots of focus time or you plan to invite a special guest speaker, a large conference room may be necessary. If your budget is tighter, a large outdoor park could be a good option. You can send out an anonymous survey with several options to get an idea of what people prefer. Tropical weather or snowy mountains? – there’s no point in choosing a venue that you love if no one else does. Consider factors such as physical impairments, as well.
3. Consider the Timing. It’s crucial to plan your retreat at a time when it is most convenient for your team. Before or after a major holiday is never a great time as well as during your own company’s busiest season. The season and weather will play a big role in choosing the right dates for the venue they prefer.
4. Enough Notice. You’ll want to give your people enough time to plan accordingly. Childcare arrangements, flights and house care must be planned in advance. 3-4 months is the minimum notice time you should plan to give.
5. Lodging and Transportation. Consider the size of the group that will be attending and how close the location will be to your main venue. If you plan a 1-day local event locally, lodging may not even be needed but well organized transportation is critical. For a smooth experience, it’s always best to call the hotel or resort directly and specify your plans rather than book via website or online directory.
6. Plan Team Building Activities. As the planner, you are responsible to create the atmosphere and to create bonding activities. Scavenger hunts, sport competitions, bike trips are some ideas to consider.
7. Tangible Memories. Memories fade fast! Give your team mementos of the event to keep the memories going long after they are back in the office. A surprise gift bag greeting them in their room, at the front door or on the bus ride is a great way to keep the feel-good feelings last. Choose a mix of items that are representative of your event, or ones that feel pampering and luxurious. If your budget allows, a customized gift with your retreat logo and other coordinating mementos are impactful and appreciated.
